Protecting your child's information is central to how we operate at Love Is Learning (the trade name of Learning with Megan Michelle). In short: we collect only what we need, use it only to teach and communicate with you, and never sell it. This Policy explains how we collect, use, share, and retain your family's information.
1. Information We Collect
- Student: first name and last initial, age/grade, academic needs and progress notes, and work samples.
- Parent/Guardian: name, email, phone, and billing contact.
- Session data: scheduling details (Acuity Scheduling) and session content in the online classroom (Lessonspace), which may include recordings (see Section 3).
- Payment: handled by Stripe via Acuity; we do not store full card or bank numbers.
- Communications you have with us via email or our contact forms.
2. How We Use and Share Your Information
We use information only to schedule and deliver tutoring, monitor progress, communicate with parents, process payments, and improve instruction. We do not sell or rent personal information, and we do not use student data for advertising. We share data only with the service providers ("processors") that run our operations, each under their own terms and only as needed to deliver services or as required by law:
- Acuity Scheduling — booking, scheduling, and appointment communications.
- Stripe (via Acuity) — payment processing.
- Lessonspace — the online classroom, including any session recordings and transcripts.
- Google / Google Workspace (Gmail) — parent email communication and, only if you consent, website analytics.
- Notion — secure storage of our internal student records, session notes, and recaps.
- Microsoft Azure, including Azure OpenAI — hosting for our systems and the AI processing that generates session summaries and recaps.
- Anthropic (Claude) — an AI assistant used internally to support lesson planning and drafting parent communications.
We share only the minimum information each provider needs to operate our tutoring service, and only for that purpose.
3. Recordings & AI Tools
As a normal part of how we tutor, we use AI-powered tools for note-taking, transcription, and session summaries, and we may record sessions for instructional review — always for educational purposes only. You consent to this when you agree to our Terms of Service. We share your child's notes, summaries, transcripts, and recaps directly with you by email. Only the tutor has access to recordings and transcripts on our side. We will never use or share a recording, transcript, or your child's work beyond your family — publicly, in marketing, or as an example — without your separate, explicit, written permission.
4. How Long We Keep It
- Session recordings: deleted within 90 days of the session.
- Session notes & recaps (our internal records, which may include transcriptions), along with other student academic data, work samples, and contact info: deleted or de-identified within 1 year after your child's tutoring relationship with us ends, or sooner on request.
- Billing & tax records (payment history via Stripe — no academic detail): kept for 3 years to meet tax requirements, then deleted.
In short, we do not hold a child's learning records long-term; the only records kept for several years are the financial records required for taxes.
5. Children's Privacy & Parental Consent
Because we serve children, a parent or legal guardian provides consent on the child's behalf and enters into our agreement, confirming they have authority to do so. We collect the minimum data needed and direct account creation and communications through the parent/guardian rather than the child. You may review, correct, or request deletion of your child's information at any time, and you may request a copy of your child's session notes at any time, by contacting us at [email protected]. We respond within a reasonable time.
6. Data Security
We implement a variety of security measures to maintain the safety of your personal information. Sensitive data is stored behind secured networks and is only accessible by a limited number of people who have special access rights to such systems.
7. Cookies & Similar Technologies
We keep tracking to a minimum. We use no advertising cookies and never sell your data, and analytics stays completely off until you choose to Accept. Here is everything we use:
- Essential / functional (first-party): small items stored in your own browser to remember your choices — for example, your cookie preference and whether you've dismissed a pop-up. These are necessary for the site to work and are not used to track you.
- Analytics (Google Analytics 4) — only with your consent: if you choose Accept in our cookie banner, we enable Google Analytics so we can see which pages help families and improve the site. It measures site usage in aggregate and may set its own cookies. We never use it for advertising. By default it is switched off (via Google Consent Mode), so no analytics cookies are set unless you Accept — if you Decline or ignore the banner, none are placed. You can withdraw consent at any time by clearing this site's stored data in your browser.
- Booking calendar (Acuity Scheduling): our scheduling calendar is embedded from a third party and may set its own cookies. To protect your privacy, it loads only when you choose to — you'll see a "Load the booking calendar" prompt, or you can accept cookies in the banner. Payments within the calendar are handled by Stripe.
- Web fonts (Google Fonts): we load fonts from Google, which receives your IP address to deliver them. No cookies are set for this.
You can change your choice at any time by clearing this site's stored data in your browser, and you can block cookies in your browser settings — though the booking calendar may not work if you do.
8. Your Rights
You have the right to access, correct, or request the deletion of your personal information, and to request a copy of your child's session notes. To exercise these rights, please contact us at the email address below.
